
Institutional Letter Request
(Formerly Committee Letter)
Current students and alumni (within five years of graduation) applying to medical, dental, or veterinary school may request an Institutional Letter of Recommendation (formerly called a Committee Letter) from the Wesleyan Health Professions Team. We recommend making your initial inquiry about 18 months before your intended matriculation date.
Wesleyan established its Committee Letter process in 2003. Until the 2026 Entry Year, applicants received a letter including a “level of recommendation,” determined by Committee of Wesleyan Faculty & Staff.
Beginning with the 2026 Entry Year, in collaboration with the Northeast Consortium of Medical Education (NECOME), we no longer assign hierarchical recommendations determined by a Committee. Instead, we provide an Institutional Letter of Recommendation — an inclusive assessment that will assist in determining an applicant’s suitability for an interview and potential admission. We take pride in the caliber of our students and alumni and advocate for their holistic and equitable evaluation.
The name change to “Institutional Letter” reflects the removal of an internal review panel (Committee). However, on some application platforms (e.g., AMCAS), you should still expect to see the “Committee Letter” designation.
Medical, dental, and veterinary schools highly value this comprehensive document. While not required, it is strongly recommended for all applicants, as many schools expect to see it.

The Institutional Letter File will contain:

INSTITUTIONAL LETTER REQUIREMENTS
Applicants are responsible for reviewing all deadlines and requirements outlined on this webpage and in the EY2027 Instructions & Overview document.

Registrants must pay the $50 Processing Fee for the Institutional Letter service by check. Checks should be payable to Wesleyan University, and include the applicant’s name and Wes ID number in the “memo” or “for” section. Credit cards/digital payment methods are not accepted. If you do not have access to personal checks, you may use a bank check or money order.

**Current students demonstrating high financial need may be eligible for a Fee Waiver pending a decision from the Financial Aid Office.

All letters of recommendation are confidential and may not be viewed by the student or alum. Admissions committees strongly recommend confidential letters, as they carry greater credibility.
Preparing your letter writers
- Give writers at least 8 weeks’ notice before the deadline.
- Provide each writer with:
- Your unique document upload link
- Letter of Recommendation Guidelines
- AAMC Guidelines
- Your full name, major(s), minor(s)/certificates, graduation year, GPA and an updated resume
- Brief statement about your interest in the health profession
If possible, also consider scheduling a meeting with each letter writer to discuss your background and career goals.
An Institutional Letter File cannot be completed without at least three individual letters of recommendation.
The ideal number of recommendations varies from applicant to applicant. For some, three will suffice; others may want to request up to six letters. If you are unsure whom to ask how many letters to request, talk with the Health Professions and Life Sciences Career Advisor about your situation.
- At least two letters must come from Wesleyan University faculty or staff.
- Two science-related letters (e.g., from science faculty) is strongly advised
- At least one clinically-related letter from a health professional (such as doctor, nurse, PA, etc.) is strongly advised.
- Check each school’s requirements: some may ask specifically for letters from a PI, MD, or research supervisor.
Notify the HPAA if there are any changes to your list of letter of recommendation writers by submitting the LOR Writer Update form.

By Federal Law as per The Buckley Amendment, your Institutional Letter File (or Letter Packet), including all individual letters of recommendation, can only be sent out to health professions programs after you have submitted a Formal Request containing your preferred email address, your relevant ID number(s), a tentative list of all medical, osteopathic, dental, or veterinary medicine schools (etc.) to which you are applying, and your signature.
A Microsoft Form will be sent to applicants for supplying all of the above on or around May 1st, to be completed no later than June 1st.
INSTITUTIONAL ACTION
When requesting an Institutional Letter File (or Letter Packet), you will complete the Institutional Letter Request and Consent form, which includes acknowledgement of a Letter of Academic and Disciplinary Clearance (also known as a Letter of Good Standing). If you have any record of academic or disciplinary sanction at Wesleyan, you will receive the exact wording describing the violation in detail. For complete transparency, a brief description of the violation will be included in the Institutional Letter.
When completing your primary application to health professions programs (e.g. AMCAS, AADSAS, VMCAS, etc.) you are required to disclose any incident that pertains to either non-academic conduct violations or academic misconduct. While discussing the incident(s) you should reflect on what you learned from this experience and how it may have contributed to your growth.

NOTE ON DEADLINES
You can find a detailed timeline of the Institutional Letter process here, which heavily references the Instructions & Overview document. It is recommended that you use this as a checklist to ensure you are hitting the necessary milestones of this process.
If you miss designated deadlines, or do not take the MCAT for the first time by the last test date in July, we will be unable to provide you with an Institutional Letter File. However, you may still request a Letter Packet.
If you have earlier submission deadlines for documents in support of your application to your health professions programs (such as program-specific requirements or Early-Decision applications), we will need a minimum of 45 days advanced notice.
If you have a deadline in January you must have all required documents, including Letters of Recommendation, sent to the Health Professions Administrative Assistant no later than the 1st of December of the prior year. Any requests received after that date are not guaranteed to meet January deadlines.

All student and alumni applicants requesting an Institutional Letter File or Letter Packet must first schedule an appointment with the Health Professions Administrative Assistant (HPAA).

WAIVING YOUR RIGHTS TO ACCESS LETTERS
When you submit your request for an Institutional Letter File or Letter Packet, you’ll be asked to waive your right to view the document, including the Institutional Letter (if applicable) and all individual Letters of Recommendation included in the file.
Medical schools and other health professions programs strongly prefer confidential letters — they are considered more credible and objective.
